Rates & inclusions

Rates at Samara are quoted per person (guest aged 12+) sharing per night and are fully inclusive of accommodation, twice-daily game drives, bush walks, conservation activities, meals and local beverages. Children under the age of 3 stay free, whilst children between their 3rd and 12th birthdays pay 50% of the standard per person sharing rate.

Rates are quoted in ZAR and are inclusive of VAT at 15%.

• CONSERVATION CONTRIBUTION

  The conservation contribution charged to guests goes directly towards funding vital conservation and community projects through Samara’s registered public benefit organisation, The Friends of Samara Trust. These projects include rhino and elephant anti-poaching, wildlife conservation, ecological restoration, community initiatives and climate change adaptation. Find out more here.

  How much is the conservation contribution?

  • The conservation contribution is R450 per person per night
  • South African residents benefit from a concession, bringing the rate to R225 per person per night
  • The conservation contribution applies to guests of all ages

  Do other reserves charge a conservation contribution?

  • Yes, most reserves, whether public or private, charge a levy of some sort to fund conservation and community projects. As a private reserve, Samara does not receive government assistance and therefore relies on visitors to help fund these projects.

  Why is the conservation contribution not included in the rack rate?

  • The conservation contribution is separated from the rack rate to ensure that 100% of proceeds go to the projects outlined above without being subject to any commission and/or other reductions e.g. accommodation specials.

  When is the conservation contribution payable?

  • The conservation contribution is payable upfront with your accommodation. Reservations will add the contribution to your invoice.
• SINGLE SUPPLEMENT
  • Plus 50% of per person per night sharing rate applicable to single occupancy.
  • This does not apply to The Manor exclusive-use or Plains Camp exclusive-use.

Child policy

• KAROO LODGE

  General

  • Children of all ages are welcome at Karoo Lodge. However children under 8 are not permitted on scheduled game drives with other guests.
  • Shorter “bumble” game drives are on offer to families with young children mid-morning once the scheduled game drive has returned to the lodge.
  • A children’s programme and use of the Cubs’ Den is available to kids of all ages.
  • A private vehicle for families can be booked by prior arrangement, subject to availability and at extra cost (please enquire with Reservations).

  Karoo Family Suite

  • The quoted rate applies to 1-4 guests irrespective of age.
  • The maximum capacity of the Karoo Family Suite is 4 guests in the two bedrooms plus 1 child under the age of 12 on an extra bed in the shared living area.
  • Any child over and above the maximum 4 guest capacity, limited to one child, benefits from the following discounts: children before their 3rd birthday stay free, and children between their 3rd and 12th birthday pay 50% of the per person Karoo Suite rate.
  • Any guests over and above the maximum 4 guest capacity, who are aged 12 or older, must take their own room at adult rates.
  • 3 or more adults are not permitted to share a room.
  • Guests booked into a Karoo Family Suite for a minimum of 3 nights enjoy the complimentary use of a private vehicle, subject to availability.

  Karoo Suite

  • Two extra beds may be accommodated in a limited number of Karoo Suites, subject to availability, for use by up to 2 children under the age of 12 sharing with 2 adults.
  • Children before their 3rd birthday, sharing with 2 adults, stay free.
  • Children between their 3rd and 12th birthday, sharing with 2 adults, pay 50% of the per person Karoo Suite rate.
  • Guests aged 12 and over must take their own room at adult rates.
  • 3 or more adults are not permitted to share a room.
• THE MANOR

  Exclusive-use

  • Children of all ages are welcome at The Manor when it has been booked exclusively. A bespoke programme of activities will be discussed with you by your private guide.
  • The quoted exclusive-use rate applies to 1-6 guests (high & low season) and 1-8 guests (peak season) irrespective of age.
  • In high & low season, any children over and above the minimum 6 guest requirement benefit from the following discounts: children before their 3rd birthday stay free, and children between their 3rd and 12th birthday pay 50% of the extra person (7th & 8th guest) rate.

  Manor Suite

  • When a Manor Suite has been booked on a shared-use basis, children under the age of 12 are not permitted.
  • 3 or more adults are not permitted to share rooms.
• PLAINS CAMP

  Plains Camp

  • Given the nature of Plains Camp as an unfenced explorer-style camp with a focus on bush walks and wildlife tracking in Big Five territory, children under the age of 16 are not accommodated.
  • 3 or more adults are not permitted to share a tent.

Booking and cancellation policy

• STANDARD POLICY
  • Reservations are not secured until such time as a deposit has been paid.
  • A 50% deposit of the total accommodation amount, conservation contribution and any road transfers organised by Samara is payable within 14 days of date of confirmation of the reservation. Samara reserves the right to release the reservation without notice should payment not be received.
  • The remaining 50% is due 30 days prior to arrival.
  • Reservations made within 30 days of arrival date must be confirmed by full payment within 48 hours.
  • All reservation requests, confirmations and cancellations will be valid only if in writing.
  • Reservations cancelled 46+ days prior to arrival will not incur a cancellation fee, except if payment has already been made, in which case a 5% fee of the amount already paid will be charged to cover credit card/bank fees.
  • Reservations cancelled 45-21 days prior to arrival will be charged at 50% of the total accommodation and conservation contribution amount.
  • Reservations cancelled within 20 days of arrival will be charged at 100% of the total accommodation and conservation contribution amount.
• PEAK SEASON POLICY
  • An initial non-refundable deposit of 1 night’s accommodation amount and conservation contribution is payable within 14 days of date of confirmation of the peak season reservation. Samara reserves the right to release the reservation without notice should payment not be received.
  • The balance of the payment falls due by 1 September of the same year as the start of the applicable peak season.
  • Any cancellation after this date shall be processed as follows, with the applicable percentage cancellation fee applied to the total reservation value less the non-refundable deposit:
    • Peak season reservations cancelled 46+ days prior to arrival will not incur a cancellation fee on the total accommodation and conservation contribution amount less the non-refundable deposit, except if payment has already been made, in which case a 5% fee of the amount already paid will be charged to cover credit card/bank fees.
    • Peak season reservations cancelled 45-31 days prior to arrival will be charged at 50% of the total accommodation and conservation contribution amount less the non-refundable deposit.
    • Peak season reservations cancelled within 30 days of arrival will be charged at 100% of the total accommodation and conservation contribution amount less the non-refundable deposit.
  • Peak season reservations made after 1 September for travel dates in that year’s peak season must be confirmed by full payment within 7 days.
• COVID-19 & FORCE MAJEURE
  • Should a guest be unable to redeem their confirmed and paid for reservation due to a legitimate COVID-19 or other Force Majeure related reason, the guest shall be entitled to postpone their travel dates for up to 24 months from original date of travel without incurring cancellation fees.
  • The postponed reservation will be honoured at the rate at which the original reservation was made, subject to the new dates falling into the same rate season (high, low or peak) as the original reservation.
  • Should the postponed reservation be rescheduled for new dates which fall into a different rate season to the original reservation, or for a different accommodation type, guests will be liable for the difference in rate associated with the new reservation. In the event that the postponed reservation rate is less than the original reservation rate, the guest will benefit from a credit of the difference to be spent at Samara.
  • Please note that guests staying on Samara’s South African Residents Special are entitled to postpone their travel dates for a legitimate COVID-19 or other Force Majeure related reason at the same rate and without charge until 1 November 2022. Thereafter Samara reserves the right to implement a reasonable rate increase.
  • Reservations cancelled for a legitimate COVID-19 or other Force Majeure related reason up to 14 days before arrival will be refunded at 100% of the total reservation value, with the following provisos:
    • Reservations already paid for will incur a 5% fee of the amount already paid to cover credit card/bank fees.
    • Peak season reservations will be processed in accordance with Samara’s Peak Season Policy.
    • Written evidence to support the legitimacy of a guest’s reason for cancellation or postponement must be provided. Cancellation for any non-COVID-19 or other Force Majeure related reason will be processed in accordance with Samara’s Standard Policy.
• GENERAL
  • Rates are quoted and payable in South African Rand (ZAR).
  • Rates and policies are subject to change without notice.
  • Guests are required to take out comprehensive travel insurance covering trip cancellation and curtailment, personal accidents, medical and emergency expenses, and loss, theft or damage to personal effects.

Other information

• TRANSFERS
  • Road transfers with reputable third-party charter companies can be arranged on request at additional cost. Any third-party quotes are given subject to change without notice.
  • Contact details of accredited air charter companies can also be provided. Samara has a dirt airstrip and nearby Graaff-Reinet has a tarred runway.
  • A cancellation fee may be incurred if a confirmed charter is cancelled by the client. This is at the sole discretion of the third-party provider.
• ARRIVAL AND DEPARTURE TIMES
  • Check-in is at 14:00 (Karoo Lodge & The Manor) or 13:00 (Plains Camp). Either a late lunch or a high tea will be served, depending on the season.
  • Check-out is by 11:00.
• PAYMENT OPTIONS
  • Mastercard, Visa, Diners Card and American Express are accepted.
  • Credit card payments can be made using the link on the invoice.
  • Internet banking/EFT is accepted. Proof of payment must be sent to Reservations before arrival.
• HEALTH & SAFETY
  • Samara is located in an area free from malaria & tropical diseases.
  • Full hospital, consultant and general medical services are available in Graaff-Reinet (40 minute drive) and Gqeberha, formerly Port Elizabeth (2.5 hour drive or 30 minute helicopter flight).
  • Samara has emergency medical evacuation and health & safety protocols in place.
